International Agreements

  • Scholarship mobilities within the framework of international agreements are provided by the Academic Information Agency of the Czech National Agency for International Education and Research (AIA DZS).
  • Usually, students and academics are reimbursed travel expenses by the FA CU and they receive a scholarship to cover living costs from the receiving institution. The exact conditions are always listed for a specific type of stay on the DZS website...
  • The scholarships are not specified for particular universities abroad. Applicants are expected to find the universities they are interested in themselves. It is recommended that they already have contact with the relevant workplace abroad at the time of submitting the application.
  • Scholarships are intended for academic staff and students of Charles University, the selected applicants must be them during their stay abroad and also at the time of the application for reimbursement of travel expenses. The study cannot be interrupted for the exchange period.

Quota-based scholarships

  • places are allocated annually to universities by the Ministry of Education, Youth and Sports of the Czech Republic (MŠMT)
  • selection procedure takes place primarily at CU
  • nominations are sent to MŠMT by the Rectorate

Scholarship places based on the DZS selection procedure

  • places that are available to all applicants directly through the Czech National Agency for International Education and Research of MŠMT
  • CU only confirms applications
  • in case of both scholarship types fill in the online application on studujnavs.gov.cz
  • application form and documents can be in Czech or English
  • the online application contains a list of documents that need to be uploaded

Quota-based scholarship applicants usually upload the following documents:

  • GPA confirmation

Once the applicant submits their application, it is sent in the system to the home faculty for review and confirmation. At FA CU the check is carried out by the International Office.

  • as soon as applicants receive an Acceptance Letter from the MŠMT or AIA, they report the term of their stay to FA CU International Office (marie.hankova@ff.cuni.cz)
  • academics go on a business trip – “Cestovní příkaz” must be signed by the head of the International Office (before departure and again upon return)
  • travel costs are reimbursed only upon return and submitting of all necessary documents.
  • NOTE: an exception is travel at the turn of the calendar year – travel expenses must be reimbursed in the year in which they were purchased (see Travel costs reimbursement section for details)
  • in case of a significant modification of the original dates of stay, it is necessary to contact the MŠMT and agree on the claim for reimbursement of travel expenses and then inform the International Office
  • MŠMT communicates in the acceptance letter whether it is possible to apply for reimbursement of travel costs (this information is also included in the call for applications) – this does not automatically apply to all international agreements
  • the applicant is entitled to be reimbursed for travel costs to and from the place of stay (only one way there and one way back)
  • if it is necessary to use multiple services, all tickets/air tickets will be reimbursed
  • travel by private car or taxi is not refundable
  • the eligibility for reimbursement is only after the return from abroad, with the following exception

Exception: Travel expenses are reimbursed by calendar year, not academic year. All travel documents that are purchased in a given calendar year, regardless of the actual return date, must be reimbursed in that calendar year.

For example, if you buy a ticket for 2026 in 2025, you need to reimburse it in 2025 and meet the deadlines below.

Faculty semi-annual deadlines for submission of travel documents:

The applicant sends the documents for reimbursement of the travel expenses to the International Relations Office: marie.hankova@ff.cuni.cz.

Student

  • Application
  • a copy of acceptance from MŠMT or AIA
  • confirmation of the completion of the stay abroad – a copy of the transcript, a copy of the certificate of study from the foreign institution, etc. – in the case of an ongoing stay, a certificate proving that the student has started the stay
  • a copy of the ticket or flight ticket (the date must coincide with the study stay)
  • proof of payment of tickets/air tickets – receipt or bank statement (the part that contains the amount, can also be in the form of a printscreen from internet banking)
  • amounts in foreign currency will be converted according to the current Czech National Bank exchange rate on the day of purchase
  • a copy of the bank card with the account number, signed by the applicant, or a bank statement showing the account number, name and address of the applicant

Based on the submitted documents, a scholarship is prepared. The student must have a Czech bank account number in SIS, otherwise the scholarship cannot be paid.

Employee

  • a copy of the acceptance letter from MŠMT or AIA
  • cestovní příkaz” – must be signed by the head of the International Office before departure and again upon return
  • a copy of the ticket or flight ticket (the date must coincide with the study stay)
  • proof of payment of tickets/air tickets – receipt or bank statement (the part that contains the amount, can also be in the form of a printscreen from internet banking)

The outgoing employee must administer the mobility as a business trip through the FA CU Finance Department. The International Relations Office will add the accounting number from which the travel costs are paid to “cestovní příkaz”. The above documents serve as a basis for reimbursement from the MŠMT, not for the Finance Office to administer the business trip.
